vAutoMove ("we", "us", or "our") operates the vAutoMove vehicle transport and logistics platform, including the vAutoMove Driver mobile application (the "App") and the vAutoMove web planner (together, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
vAutoMove is a business-to-business service supplied to vehicle dealerships and transport operators. Where you use the Service as an employee or contractor of one of our customers, that organisation is the data controller for your data and vAutoMove acts as a data processor on their behalf.
1. Information We Collect
We collect the following types of information:
- Account Information: Your name, email address, role, and organisation, provided when your administrator creates your account. vAutoMove uses your existing vAutoStock credentials — we do not create a separate password for the App.
- Authentication Data: An encrypted password hash (held by the vAutoStock identity service), two-factor verification codes sent by SMS or email, and short-lived session tokens.
- Movement & Inspection Data: Vehicle details (registration, make, model), collection and delivery information, vehicle condition and damage records, odometer and fuel readings, and handover checklists that you create or complete.
- Photos & Signatures: Photographs of vehicle damage that you capture with your device camera or select from your photo library, and customer/driver signatures captured on screen, attached to an inspection.
- Location Data: When you use navigation, route and estimated-arrival features, the App may access your device location to plan routes and report progress for a movement. Location is used only in connection with an active job.
- Device & Diagnostic Information: App version, platform, device model, and crash and performance diagnostics used to keep the App stable and secure.
2. How We Use Your Information
- To provide, operate and maintain the vehicle transport and inspection service
- To authenticate your identity and protect your account (including two-factor verification)
- To record vehicle condition at collection and delivery, including photographic and signature evidence
- To plan and optimise routes and provide estimated arrival times
- To send verification codes and important service notifications
- To diagnose problems, fix bugs, and improve the Service
3. Camera, Photos & Location Permissions
The App requests permission to use your camera and photo library so you can attach damage photographs to an inspection, and may request location permission to support route and arrival features. These permissions are used only for the purposes described above. You can decline or revoke them at any time in your device settings; some features will not work without them.
4. How We Share Information
We do not sell your personal information. We share data only as needed to run the Service:
- Your organisation: Planners, managers and administrators within your dealership or transport operator can see the movements, inspections and records associated with their account.
- Service providers: We use Google Firebase (authentication, secure file storage, and diagnostics) to operate the App. Verification codes are delivered via SMS and email providers. These providers process data on our behalf under their own security and privacy terms.
- Legal: We may disclose information where required by law or to protect the rights, safety and security of users and the Service.
5. Data Retention
We retain movement and inspection records, including photographs and signatures, for as long as needed to provide the Service and to meet your organisation's record-keeping and legal obligations. Authentication codes are short-lived and session tokens expire automatically.
6. Data Security
We protect your data with encryption in transit (HTTPS/TLS), encrypted credential storage, two-factor authentication, strict tenant isolation so each organisation can only access its own data, and access controls based on your role.
7. Your Rights
Subject to applicable law, including the UK GDPR, you may have the right to access, correct, or delete your personal data, to object to or restrict certain processing, and to data portability. As vAutoMove usually acts as a processor for your organisation, please direct such requests to your organisation's administrator, or contact us using the details below and we will assist.
8. Children
The Service is a workplace tool intended for use by adults in a professional capacity. It is not directed to children and we do not knowingly collect personal data from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will revise the "Last updated" date above and, where appropriate, notify you within the Service.
